1. Introduction
KYTTARA, LLC is a computer systems design firm that builds reservation, guest experience and revenue systems for resorts and short stay operators. The developer known as Kyttara maintains this website and the services described on it. This Privacy Policy explains, in plain language, what information we gather, why we gather it, how we handle it and what choices you hold over it. We wrote this document so that a busy property manager, a traveling guest or a curious visitor can understand our practices without a legal dictionary. Your privacy matters to us because the trust of a guest is the same trust that keeps a property booked.
When you visit our website, contact our team, request a proposal or receive services from us, you are placing confidence in KYTTARA, LLC. We take that confidence seriously and we intend to earn it every day. This Policy applies alongside any written agreement you sign with us, and where the two differ on a specific point, the signed agreement controls for that point alone. This Policy is published by KYTTARA, LLC, whose registered office appears at the end of this document.
2. Scope of This Policy
This Policy covers the website located at kyttara.buzz, every page on that domain, and every communication channel we operate, including email sent to billing@kyttara.buzz and telephone conversations at +19569740284. It covers information about visitors, prospective clients, current clients, vendor contacts and the representatives of the properties we serve.
This Policy does not cover the separate privacy notices of the resorts and short stay operators that use our systems. When you book a stay at a property that runs on technology we built, that property decides how guest information is used for its own hospitality purposes and publishes its own privacy notice. Our role in that situation is explained in the section titled Guest Data Processed for Resort Clients. This Policy also does not apply to third party websites that we link to, because those sites publish their own rules.
3. Information We Collect
We collect information that you give us directly and information that arrives automatically as you use our website. The categories below describe what we gather in ordinary operation.
Information you provide
- Identity and contact details such as your name, business title, company name, postal address, email address and telephone number.
- Project details you share when you describe a property, a portfolio, a booking problem or a technology goal.
- Billing details such as a company name, a billing contact, a purchase order reference and the last digits of a payment card when a processor shares them back to us.
- Correspondence content, including the messages you send through our contact form and the notes our team keeps after a call.
- Testimonials or feedback that you voluntarily offer for use in our materials.
Information collected automatically
- Device and browser details such as the browser family, the operating system, the screen size and the language preference.
- Network details such as an internet protocol address and the approximate region derived from it.
- Usage details such as the pages you viewed, the links you clicked and the time you spent on each page.
- Referring information such as the website or search term that brought you to us.
Information from other sources
We may receive limited details from a business partner, a referral source or a public professional profile that helps us confirm who you are and how best to respond to your inquiry. We do not purchase marketing lists of private individuals for the purpose of unsolicited contact.
4. How We Collect Information
Most of the information we hold arrives because you chose to share it. You may complete our contact form, send an email, place a telephone call, sign a proposal or reply to a message from our team. Each of those actions creates a record that we keep for the reasons described in this Policy.
A smaller portion of our information arrives automatically through standard web technologies. When your browser requests a page, our server records basic connection data in order to deliver the page and to keep the site secure. We also use small text files described in the cookies section to remember a preference or to measure how a page performs. We do not use hidden tracking pixels to follow you across unrelated websites, and we do not build advertising profiles of individual visitors.
Finally, we may confirm a detail through a public source, such as verifying that a company exists at the address it supplied, so that our records stay accurate and our billing stays correct.
5. Why We Use Information
We use the information we collect for a small number of clear purposes. We respond to your questions and prepare proposals. We scope, deliver, support and improve the systems we build. We issue invoices, collect payment and keep proper accounting records. We protect our website, our systems and our clients from fraud, misuse and security threats. We send service messages that a client needs in order to run the technology we provide. We send occasional updates about our services where the law allows and where you have not objected. We comply with our legal, tax and regulatory duties. We analyze aggregate trends so that we can improve the quality and speed of our work.
We do not sell personal information. We do not rent it. We do not trade it for advertising. We do not use the guest information that flows through a client system for our own marketing, and we never share one client with another. Our commercial model is built on the fees a client pays for our work, not on the value of anybody personal data.
6. Legal Bases for Processing
Where the law requires a legal basis for processing, we rely on one of the following. We process information to perform a contract with you or to take steps at your request before a contract is formed. We process information for our legitimate interests in running and improving a professional services business, provided those interests are not outweighed by your rights. We process information to comply with a legal obligation such as tax and accounting rules. We process information on the basis of your consent where consent is required, for example for certain cookies or for a marketing message that is not otherwise permitted. When we rely on consent you may withdraw it at any time, and withdrawal does not affect processing that already occurred.
9. Payment and Billing Data
When you pay for our services, card details are handled by a regulated payment processor over an encrypted connection. We do not store full card numbers on our own systems. We receive a confirmation of the transaction, the amount, the date and a limited reference such as the last four digits, so that we can reconcile our accounts and answer a billing question. Invoice records, purchase order references and billing contact details are kept as part of our ordinary accounting records. Please direct billing questions to billing@kyttara.buzz or call +19569740284.
10. Guest Data Processed for Resort Clients
When a resort or short stay operator uses a system that we built, that operator decides what guest information is collected and how it is used for hospitality purposes. In that relationship the operator is the controller of the guest information and KYTTARA, LLC acts as a processor on the operator instructions. We process guest information only to deliver the service described in our agreement, to keep the system secure and to support the operator when a guest asks for help.
We do not use guest information for our own purposes. We do not sell guest information. We do not combine the guest records of one property with the guest records of another. If you are a guest and you wish to access, correct or delete the information a property holds about you, please contact that property directly, because the property controls the record and we must follow its instructions. If a guest contacts us by mistake, we will forward the request to the property and assist as the property directs.
11. How Long We Keep Information
We keep information only as long as we need it for the purpose it was collected, plus any period required by law. Inquiry records from prospective clients are kept for a reasonable period so that we can continue a conversation and honor a follow up. Client project records are kept for the life of the relationship and for the period required by our contracts and by accounting rules. Billing and tax records are kept for the period the tax authority requires. Website analytics are kept in an aggregated form and are reviewed on a rolling basis.
When information is no longer needed, we delete it or turn it into a form that no longer identifies any person. Where a legal hold applies, we retain the affected records until the hold is released.
12. How We Protect Information
We use administrative, technical and physical safeguards designed to protect information against loss, misuse and unauthorized access. Those safeguards include encrypted transport for our website, access controls that limit information to team members who need it, strong credential practices, routine software updates and secure handling of backups. Our systems are built with the same care we ask of the systems we build for clients, because we expect our own standards to be at least as high.
No method of transmission or storage is perfectly secure, and we cannot promise absolute security. If we ever become aware of a breach that affects your information, we will investigate promptly and notify you and the relevant authorities as the law requires.
13. International Data Transfers
KYTTARA, LLC operates from the United States, and the information we hold is generally processed in the United States. Some of our service providers may store or process information in other countries. When information moves across a border, we take steps to ensure it receives an appropriate level of protection. Those steps may include standard contractual clauses, a review of the provider security practices, or reliance on a recognized transfer framework. You may contact us for more detail about the safeguards that apply to a specific transfer.
14. Your Privacy Rights
Depending on where you live, you may hold some or all of the following rights. You may ask for access to the personal information we hold about you. You may ask us to correct information that is inaccurate or incomplete. You may ask us to delete information that we no longer need, subject to our legal duties. You may ask us to restrict or object to certain processing. You may ask for a portable copy of information you provided to us. You may withdraw consent where consent is the basis for processing. You may lodge a complaint with a supervisory authority in your region.
To exercise a right, email billing@kyttara.buzz or write to us at the address at the end of this Policy. We will verify your identity before acting, and we will respond within the time the applicable law allows. We will not discriminate against you for exercising a privacy right. If we cannot fulfill a request, we will explain why and tell you what further step you may take.
15. Your Marketing and Cookie Choices
You may opt out of marketing messages at any time by using the unsubscribe link in an email or by writing to us directly. If you opt out of marketing, we will still send service messages that are necessary to deliver a service you purchased, because those messages are part of the service itself.
You may control cookies through your browser as described earlier. You may also set your browser to send a do not track signal, although there is not yet a uniform standard for how such signals must be honored. We honor valid opt out preference signals where the law requires it. If you would like help adjusting a preference, contact us and we will assist.
16. Privacy for Children
Our website and our services are intended for businesses and for adults. We do not knowingly collect personal information from anyone under the age of sixteen. If a parent or guardian believes that a child has provided information to us, please contact us and we will delete the information promptly. If a property system we built collects information about a minor as part of a family booking, that collection is controlled by the property and is governed by the privacy notice of that property.
17. Third Party Links and Services
Our website may link to websites and tools operated by other companies, such as a booking channel, a review platform or a payment provider. When you follow such a link you leave our site, and the privacy practices of the destination apply. We do not control those practices and we are not responsible for the content or the security of a third party site. We encourage you to read the privacy notice of every service you use, especially before you provide payment details or sensitive information.
18. Changes to This Policy
We may update this Policy from time to time to reflect a change in our practices, our services or the law. When we make a material change, we will update the effective date at the top of this page and, where appropriate, provide a further notice on our website or by email. We encourage you to review this page periodically so that you always know how we handle information. Your continued use of our website or services after an update means that you accept the revised Policy for the information collected after the effective date.
